プラクティスアシスタント/ Practice Assistant
A global law firm is seeking a Practice Assistant. The successful candidate will provide comprehensive administrative and secretarial support to partners and lawyers, managing workflows, communications, and operational tasks across a global team. This is a hybrid setup role.
Responsibilities:
- Arrange meetings, conferences, and events, including booking venues and coordinating with internal and external stakeholders
- Organise hybrid meetings by arranging online links and technical requirements
- Plan and manage travel arrangements including flights, trains, hotels, car rentals, itineraries, and visas
- Organise and prioritise workflow to meet deadlines and manage multiple assignments
- Create and maintain contact databases and email distribution lists
- Coordinate with business support teams on behalf of stakeholders
- Manage assigned projects and ensure timely completion
- Assist with time entry for lawyers
- Prepare legal documents, correspondence, and communications
- Handle multi-line telephone systems and manage incoming and outgoing calls
- Draft, revise, proofread, and edit documents including letters, memos, reports, and emails
- Manage expense processes and oversee client billing and reporting
- Utilise firm software systems including Microsoft Office, iManage, Chrome River, Teams, InterAction, and secure file sharing tools
- Identify and troubleshoot technical issues and escalate when required
- Maintain confidentiality of sensitive information and uphold firm procedures
- Build and maintain strong relationships with internal and external stakeholders
Requirements:
- Experience in administrative or secretarial support roles
- Experience booking domestic and international travel
- Experience supporting stakeholders in a professional services environment
- Experience supporting associates and partners at an international law firm
- Proficiency in MS Office Suite
- Professional telephone manner
- Flexibility to support evening and weekend work on an ad hoc basis
- Professional level Japanese and English
