エグゼクティブアシスタント/ Executive Assistant
A luxury hospitality company is looking for a Personal Assistant to the Area Vice President. The selected candidate will provide high-level executive support, coordinate portfolio-wide operations, manage stakeholder communication, and ensure seamless execution of business priorities across a multi-property environment.
Responsibilities:
- Manage executive calendars, travel arrangements, meetings, and business schedules across multiple stakeholders
- Support the Area Vice President and General Manager through proactive coordination and prioritisation of business activities
- Prepare executive briefings, presentations, reports, and meeting materials using AI tools
- Coordinate communication and follow-up between hotel leadership teams, owners, and corporate stakeholders
- Track action items, deadlines, and operational deliverables across the portfolio
- Manage confidential correspondence and sensitive business matters with professionalism and discretion
- Support leadership meetings, owner meetings, property reviews, and executive visits
- Provide bilingual communication, translation, and interpretation support in Japanese and English
- Identify scheduling conflicts, operational risks, and coordination gaps while recommending practical solutions
- Maintain organised tracking systems for projects, reports, and executive documentation
Requirements:
- More than 5 years of experience in executive administrative support
- Proficiency in MS Office Suite
- Strong AI-based technology skills
- High attention to detail, professionalism, and confidentiality
- Strong cultural awareness within Japanese business environments
- Proficient in written and verbal Japanese and English
Preferred requirements:
- Diploma or above in Hospitality Management, Business Administration, or related field
- Experience in luxury hospitality, multi-property operations, or regional office environments
- Experience supporting senior hospitality leadership
