エグゼクティブアシスタント/ Executive Assistant
A renowned hospitality organisation is seeking a Personal Assistant to the Managing Director. The selected candidate will provide comprehensive administrative, communication, and project support while ensuring efficient coordination, confidentiality, and executive assistance.
Responsibilities:
- Manage and organise the Managing Director’s calendar, appointments, meetings, and travel arrangements
- Handle correspondence including emails, letters, and phone calls as the first point of contact
- Prepare and edit reports, memos, and presentations
- Act as liaison between the Managing Director and internal teams, stakeholders, clients, and external partners
- Coordinate communication to ensure alignment and clarity of directives
- Manage internal communication projects such as staff announcements and updates
- Organise meetings including agenda preparation, document collection, and minute-taking
- Coordinate logistics for internal and external events including conferences, workshops, and team activities
- Assist in project planning, execution, and progress tracking to meet deadlines
- Support decision-making by providing relevant data and research
- Handle sensitive information with strict confidentiality and discretion
- Manage personal appointments and commitments of the Managing Director
- Provide personal support impacting professional efficiency
- Translate between Japanese and English
Requirements:
- Experience as a personal assistant or similar administrative role
- Excellent written and verbal communication abilities
- Proficiency in MS Office Suite and office management tools
- Discretion in handling confidential matters
- Proactive and self-motivated approach
- Flexible and adaptable to changing environments
