チームアシスタント/ Team Assistant
A global financial services organisation is seeking a Team Assistant. The selected candidate will coordinate office management, HR support, IT liaison, and executive administration to ensure organisational efficiency and smooth day-to-day operations.
Responsibilities:
- Maintain supplier, vendor, and contract schedules for efficient reference and management
- Coordinate annual medical check-ups and employee-related administrative arrangements
- Handle congratulatory and condolence arrangements
- Manage business card printing and office access card issuance and termination
- Ensure availability of office supplies including stationery, pantry items, and equipment
- Manage corporate subscriptions including renewals and terminations
- Coordinate vendor contracts including office equipment leasing and service agreements
- Support onboarding processes and administer employee leave applications
- Act as liaison with IT teams and vendors for network, hardware, and system support
- Coordinate procurement and maintenance of IT equipment and office systems
- Liaise with telecom providers for communication systems and troubleshooting
- Provide general administrative and secretarial support including document preparation and handling communications
- Organise meetings, working lunches, and video or telephone conferences
- Manage travel arrangements including bookings, visa applications, and travel documentation
- Maintain filing systems and ensure proper documentation management and disposal
- Manage calendars and schedules for team members
- Organise local and international meetings and executive visits
- Prepare expense claims and support conference and seminar registrations
Requirements:
- Professional level Japanese and English
