A global energy company is looking for a People & Culture Specialist. The chosen applicant will be covering recruitment, onboarding, payroll, benefits, employee documentation, statutory reporting, and HR administration. This is a hybrid role.

Responsibilities:

  • Support recruitment activities by reviewing reference checks, creating offer letters, reviewing medical checkup results and onboarding documents, and answering TA inquiries on local policies, onboarding, and probation reviews
  • Support onboarding activities including NDA signing, social insurance enrollment/withdrawal, resident tax processing, and annual tax statements
  • Support the Early Retirement Program by sending communications, aligning with the business, calculating benefits, and approving requests
  • Manage Work Rules updates in accordance with labour law, including employee representative review and labour office submission
  • Manage monthly payroll, bonuses, shares, severance, year-end tax adjustments, overtime calculations, tax payment notifications, and finance reports
  • Coordinate year-end annual tax settlement/adjustment and tax filing when shares vest
  • Coordinate with vendors for benefits administration
  • Create employment certificates for school, housing loans, and other purposes, including documents requiring a company seal
  • Manage documentation for expatriate onboarding and offboarding, wet signatures, and company seal requirements
  • Support other administrative tasks including projects, translation, mailing, and company stamp requirements
  • Identify required improvements to HR processes and the knowledge base
  • Manage fixed-term contracts by confirming reemployment intentions after retirement, discussing business needs and compensation, and executing annual contracts
  • Manage temporary staff contracts by confirming and processing renewals with agencies and the business

Requirements:

  • Bachelor’s degree or equivalent experience
  • 3-5 years of HR Operations experience
  • Understanding and ability to administer HR systems and processes efficiently and effectively
  • Strong communication skills with experience in a high matrix environment
  • Native level Japanese; business level English
