What’s the overall purpose of the role?

The Human Resources Shared Services Team Administrator is an entry level role within the HRSS Pillar and is a pivotal administration and operational support role within the Hub team, the role is not employee facing, therefore only interacts with the Hub team.

The role focuses on ensuring efficient HR administration delivery, maintaining accurate employee records across multiple HR systems, generation of basic employee life cycle letters and supporting various HR processes and initiatives. The role does not extend to generation or sending of any employee documents that relate to an individual’s remuneration, including letters and contracts.

The Human Resources Shared Services Team Administrator does play a critical part in delivering excellent administration service across the HRSS Hub.

Key Focus areas are:

  • Administrative Support: Assist in managing the HR shared services inbox (if required). Schedule and coordinate meetings, interviews, and HR events as needed. Updating Standard Operating Procedures (SOP’S) manuals, prepare reports, presentations, and other documents as required. Assist with employee benefit administration maintenance and reporting.
  • Employee Records Management: Maintain and update employee records in the HR information system (data entry), ensuring data accuracy and confidentiality. Assist in the preparation of HR documents such as basic employee life cycle letters and forms (excluding all employee remuneration letters and employment contracts).
  • HR Process Improvement: Participate in projects aimed at improving HR processes and hub service delivery. Provide feedback and suggestions for streamlining HR administration processes.
  • Compliance and Reporting: Ensure compliance with HR policies and procedures and assist in audits and data analysis.

  • Build strong partnerships with all Hub employees and other business partner function where applicable

  • Leverage AI, data analytics, and digital tools to enhance HRSS processes and capability.
  • Champion innovative technologies to improve service delivery.
