アシスタントファシリティディレクター/ Assistant Director of Facility
A luxury hospitality company is looking for an Assistant Director of Facility. The selected candidate will support engineering and maintenance operations, lead facility teams, oversee technical systems and projects, and ensure property safety, guest experience, regulatory compliance, and operational excellence.
Responsibilities:
- Lead and develop engineering technicians and shift supervisors, ensuring 24/7 coverage, conducting performance reviews, identifying training needs, and building team capability
- Oversee maintenance and guest-impacting issues across guest rooms, F&B outlets, public areas, pools, spa, fitness facilities, banquet spaces, and back-of-house areas while maintaining luxury brand standards
- Manage HVAC, BMS, electrical, mechanical, plumbing, and related building systems, including preventive maintenance, fault response, inspections, and statutory requirements
- Plan, coordinate, and execute Capex and FFE projects, working with hotel departments, suppliers, contractors, and the owner’s office to minimise operational disruption and maintain project timelines and budgets
- Manage vendor and contractor relationships, including SLA monitoring, invoice review, performance issues, negotiations, and project execution
- Monitor energy and utility consumption and sustainability KPIs, conduct energy audits, and implement energy-saving initiatives and efficiency upgrades
- Prepare and monitor departmental OPEX and Capex budgets, controlling expenditure across energy management, preventive maintenance, and capital planning
- Ensure compliance with 消防法, 建築基準法, labour safety requirements, and other applicable Japanese regulations, including statutory inspections and government filings
- Coordinate with Housekeeping, Front Office, department heads, and other stakeholders to maintain service continuity, minimise revenue impact, and resolve operational issues
Requirements:
- Bachelor’s degree or above in mechanical or electrical engineering or a related discipline
- More than 5 years of experience in building or facilities maintenance, engineering, or construction
- Hands-on technical proficiency in at least two of HVAC, BMS, electrical, mechanical, or plumbing systems
- Proven supervisory or team-lead experience managing engineering technicians or maintenance teams
- Experience managing vendor and contractor relationships, SLA monitoring, and project execution
- Knowledge of HVAC and BMS operation, fault diagnosis, trend analysis, and servicing
- Knowledge of LV/HV electrical systems, transformers, emergency generators, UPS, and distribution boards
- Knowledge of mechanical systems including pumps, hot/cold water systems, drainage, fire suppression, and life safety equipment
- Knowledge of plumbing maintenance and fault rectification across a large multi-floor property
- Knowledge of energy management principles and utility consumption monitoring and reporting
- All professional licences required by Japanese law must be held and current at the time of appointment
- Possess a valid relevant trade certification or professional licence in at least one discipline such as electrical, mechanical, HVAC, or plumbing
- Professional level Japanese; business level English
Preferred requirements:
- Experience in a hotel or full-service hospitality environment and familiarity with luxury brand standards
- Experience with high-rise or large multi-outlet luxury hotel building systems
- Familiarity with management systems or equivalent sustainability and energy reporting systems
- Exposure to Capex project management including scoping, tendering, and contractor oversight
- Working knowledge of Japanese regulatory frameworks including 消防法, 建築基準法, and labour safety
- Possess a valid HVAC or refrigeration certificate or equivalent, including Level 3 EPA Certification
