A multinational healthcare services company is seeking a Project Coordinator. The selected candidate will coordinate project timelines, documentation, client materials, inventory, reporting, systems, invoicing, training, and other project management activities.

Responsibilities:

  • Coordinate projects from award stage to completion, ensuring project timelines are generated, monitored, and tracked
  • Attend internal client meetings, teleconferences, client visits, and audits, and prepare minutes, actions, and required project documentation
  • Manage client-supplied label text, randomisations, drugs, components, and materials, ensuring timely delivery to internal functions
  • Generate required documentation and liaise with the depot group for third-party depot set-up
  • Manage client inventory reporting and track inventory in line with project requirements
  • Set up clients on Fusion Suite and provide ongoing support for client use and password management
  • Collect KPI data and prepare project forecasts and relevant information to support the PM team, S&OP, and client management
  • Set up the returns phase of projects and manage IDRs, destruction processes, and related invoicing
  • Assist with departmental training and completion of training documentation
  • Investigate disputed invoices and manage invoice queries through to timely resolution and payment
  • Provide the Project Manager with information on project requirements and deputise on specific tasks during the Project Manager’s absence
  • Perform project set-up entries and tracking in JDE and mark financial milestones under the guidance of the PM
  • Assist with the preparation and regular review of Standing Operating Procedures relating to areas of responsibility

Requirements:

  • Bachelor’s degree or equivalent in a related field
  • 1-2 years of experience in customer service or an appropriate business-related area
  • Experience working with external clients
  • Good knowledge of IT systems
  • Strong time management and organisational skills

Preferred requirements:

  • Possess a valid Professional Project Management Qualification
