役員秘書/ Executive Assistant
An international investment firm is seeking an Executive Assistant. The selected candidate will manage administrative, travel, and documentation tasks while ensuring smooth operations for senior professionals. This is a haken role.
Responsibilities:
- Maintain calendars, contacts, and tasks, schedule internal and external meetings, and arrange catering
- Coordinate domestic and international travel, including flights, car service, reservations, and troubleshooting issues
- Manage digital and physical filing of confidential deal information
- Answer phone lines, take messages, and escalate as appropriate
- Facilitate obtaining signatures and sending documents to counterparties
- Order office supplies, business cards, and manage other office support tasks
- Submit deal-related invoices, set up new vendors, and support AP processes
- Prepare presentation materials, including printing and binding
- Review, edit, and complete expense reports, ensuring timely reimbursements
- Perform occasional internet research and assist with special projects
- Work with internal and external business applications such as DealCloud and Sansan
- Maintain confidentiality of sensitive and confidential issues
Requirements:
- More than 5 years of experience in a professional corporate environment supporting senior professionals
- Proficient in MS Office Suite
- Highly organised with a proactive mindset and ability to prioritise multiple urgent tasks
- Strong interpersonal communication skills
- Attentive to time zone differences across North America, Europe, and Asia
- Professional level Japanese and English
