スケジュール調整担当者/ Scheduling Coordinator
A leading technology-driven operations company is seeking a Scheduling Coordinator (Integration Resources Coordinator). The selected candidate will manage integration team scheduling, project staffing, timesheets, reporting, and provide administrative and leadership support for smooth departmental operations.
Responsibilities:
- Coordinate integration team schedules, gather requests, propose solutions, and maintain scheduling systems such as Slack, Toggl, and Asana
- Monitor project kick-offs and update Epicor to maintain accurate integration loads and clocking guides
- Maintain US project pipeline in Epicor with a 3-to-6-month view
- Manage department timesheets and review exceptions or corrections
- Support Integration Leadership with scheduling, company projects, reporting, recruiting, travel, and department events
- Provide weekend/after-hours support and be available for urgent matters
- Adhere to company safety policies and procedures
- Attend meetings, seminars, and training sessions as required
- Communicate with and schedule freelance tour staff for projects in collaboration with project leadership
- Maintain accurate records of staff working hours and project assignments
- Schedule additional freelance and local shop labour with project and integration leadership
- Perform administrative tasks including booking hotels, transportation, and managing invoicing
Requirements:
- High School diploma or above in business, operations, project management, or related field
- More than 1 year of experience in administrative support, scheduling, or resource coordination
- Proficiency with basic office software including Excel/Google Sheets, email, and calendar tools
- Strong organisational and time management skills with ability to manage multiple priorities
- Ability to work occasional evenings/weekends and respond to urgent requests
- Attention to detail and ability to maintain accurate records
- Professional level Japanese and English
Preferred requirements:
- Knowledge of Asana, Slack, and Toggl
