アシスタント/ Assistant
An international financial services company is seeking an Assistant. The selected candidate will provide comprehensive administrative support to senior business leaders, ensuring smooth coordination and efficient daily operations. This is a direct contract role.
Responsibilities:
- Arrange complex travel plans, itineraries, and visa coordination
- Schedule and organise meetings, conferences, and off-sites, including logistics
- Prepare and edit executive materials such as Word documents and Excel spreadsheets
- Process business expenses and manage reimbursements using the Concur system
- Coordinate recruitment logistics and onboarding for new team members
- Draft and proofread strategic communications, including letters, memos, and invitations
- Manage priorities independently and respond to business needs beyond standard hours
- Collaborate with other assistants to ensure seamless communication and support
- Handle invoice coding and vendor onboarding using PeopleSoft
- Provide general administrative and office support, including mail and reception assistance
- Participate in community and social initiatives
Requirements:
- Bachelor’s degree or above
- More than 5 years of experience supporting senior business leaders and teams
- Knowledge of standard office procedures and equipment
- Proficient in MS Office Suite
- Native level Japanese; professional level English
